Configure the cycle and confirm signers
Set the financial year, meeting date and result, and confirm who signs the board and shareholder resolutions.
Configure is where you enter everything the resolutions need. It is also the only place that reliably sets who receives the signature request, so it is worth doing carefully even when the details look already filled in.
Open the company, go to the Finance tab, and choose Configure on the cycle.
Financial data
- Financial year, as a year.
- Meeting date, the date of the general meeting approving the accounts.
- Result amount in euro, and whether it is a profit or a loss.
Configure cannot correct the period dates or the filing deadline.
The exact period start and end, and the deadline derived from them, are fixed when the cycle is created. Nothing in Configure changes them afterwards.
This matters for any company whose year does not run January to December. A cycle created automatically from an RCS import assumes a calendar year, so a company with a 30 June year end gets January to December dates and a deadline calculated from 31 December.
If that has happened, do not try to correct it here. Start a fresh cycle, enter the real period, and work from that one instead. See Start an annual accounts cycle.
Sole shareholder
Either pick a shareholder already recorded on the company profile, or choose manual entry and type a name and email address.
Confirm the signer here, even if the Shareholders tab already shows one.
Marking someone as primary signer on the Shareholders tab gives them a Signer badge, but on most deployments it does not change who actually receives the signature request. Setting the signer in Configure always works, because it writes the recipient in both places.
If the shareholder receives nothing after dispatch, this is almost always why.
Board of Managers
One email field per manager, labelled with that manager's name and role. These are the people who will receive the board resolution.
If this section says there are no managers registered, the RCS extract did not yield any. Re-import the extract, or add them by hand on the company profile.
What blocks you
- A shareholder name and email are both required.
- Every manager needs an email address. Dispatch refuses if any are missing, and names the ones it is missing.
- Configure is only available while the cycle is Not started or before the board envelope has gone out. Once the board resolution is out for signature, Configure disappears so a document under signature cannot be changed underneath the signer.
Why the shareholder email matters beyond signing
Deadline reminders are sent to the shareholder's resolved email address.
If no shareholder email can be resolved, reminders are silently skipped. Nothing on screen tells you this is happening. A cycle can run to its deadline with no reminder ever sent.
