What you need to get started

The accounts, identifiers and documents to have ready before you start using Spyral.

You can sign in and start uploading documents straight away. A few things are worth having ready before you get to the annual accounts and filing work, because each one blocks a step further down the line.

To sign in

  • An invitation from your firm, or an account you created yourself. Invitations arrive by email and expire, so if yours has lapsed ask whoever sent it to resend it.
  • A phone with an authenticator app, such as Microsoft Authenticator, Google Authenticator or 1Password. Every sign in needs a second factor. See Sign in and set up two-factor authentication.

To work on companies

  • RCS extracts (extraits RCS) for the companies you administer, as PDF. Spyral creates the company record from the extract, including its managers, share capital and registered office. A scanned extract works, because Spyral falls back to OCR when a PDF has no text layer.

To send resolutions for signature

  • Email addresses for every manager on the board of each company.
  • The name and email address of the shareholder who signs the shareholders' approval.

Both are entered on the cycle's Configure dialog. Missing manager emails will block dispatch, and a missing shareholder email means deadline reminders are never sent.

To file with eCDF

Your firm needs eCDF agent access before any filing will succeed. This involves your firm's eCDF administrator and is not instant, so start it early.

  • Your firm's eCDF prefix, six characters, issued to you by ecdf.lu.
  • Your firm's matricule (11 or 13 digits), RCS number and VAT number.
  • Per client company, that company's own matricule and VAT number.

The full sequence is in Set up your firm's eCDF agent access.

To keep books

  • Financial documents for the companies you keep books for, such as invoices, receipts and bank statements. Journal entries are posted from these automatically.
  • The company's financial year end, so entries land in the right fiscal year. Spyral reads this from the RCS extract where it can, and assumes 31 December where it cannot.
