Invite your colleagues

How to invite colleagues into your firm's Spyral workspace, how invitations expire, and how to resend or cancel one.

Colleagues join your firm's workspace by invitation. There is no way for someone to sign up and attach themselves to an existing firm on their own, and this is deliberate: it keeps client documents inside the firm that owns them.

Sending an invitation

  1. Go to Team.
  2. On the Members tab, use Invite Member.
  3. Enter the colleague's email address.
  4. Choose the roles they should have. You can pick more than one, and their permissions are combined. See Team members and roles.
  5. Choose Send Invitation.

The colleague receives an email with a link. Following it takes them to a shortened sign-up: they set a password, confirm their email address with a six digit code, and enter their name. They are never asked about the firm, because they are joining yours.

If you do not have permission to invite people, the Invite Member card is not shown to you at all. Ask the workspace owner or an administrator.

Note

If your colleague signs up from the website instead of following the link, Spyral still finds the invitation, as long as they use exactly the email address you invited. The sign-up then tells them which firm they are about to join.

If they change the email address partway through sign-up, the invitation is dropped and they will start an empty firm of their own instead. The address must match.

Invitations expire

An invitation is valid for 48 hours. After that the link no longer works and the colleague sees a message asking for a new one.

Pending invitations are listed on the Team page under Invitations, each showing either how long is left or an Expired badge. The menu on each row offers three things.

  • Copy Link. The same link as in the email, in case the email did not arrive.
  • Resend. Sends the email again.
  • Cancel. Withdraws the invitation.
Careful

An expired invitation still blocks that email address. If you try to invite the same person again you are told an invitation has already been sent. Cancel the old invitation first, then send a new one.

If a colleague was invited but sees nothing

A signed-in user with a valid invitation sees a banner offering to accept it. If the invitation has already expired, the banner never appears at all and nothing explains why. Check the Team page: if the invitation shows Expired, cancel it and invite again.

Also check the address. An invitation only matches the exact email address it was sent to.

One account belongs to one firm

Careful

An account can belong to only one firm, permanently.

Accepting a second firm's invitation fails with a message saying you are already a member of another team. Worse, if a person who runs their own Spyral workspace accepts an invitation from another firm, their account is converted into a member of that other firm and their own workspace is left without an owner.

Anyone who works with two firms that both use Spyral needs two accounts with two different email addresses. There is no workspace switcher.

Removing someone

On the Team page, each member row has a remove button. Removing a person takes away their access and their roles immediately.

You cannot remove someone whose role ranks at or above your own, and the workspace owner can never be removed. Their row has no remove button.

Removing a colleague does not delete anything they uploaded. Documents, companies and cycles belong to the firm's workspace, not to the person.

Note

Removing colleagues changes what your firm's plan covers. If a whole team is removed, some areas of the workspace can become unavailable until a manager sorts it out from the Team page. Check the Team page after any large clear-out.
