Requesting and assigning reviews

Hand a whole ledger or a single entry to a colleague to review, see what is waiting on you, and read the history of who reviewed what.

Review work can be handed to a colleague, either a whole ledger at once or one entry at a time. The two behave differently, and the difference matters when several people work on the same client.

Requesting a whole ledger review

On the ledger, use Request review, choose a teammate, and add an optional note about what to focus on. The ledger is then badged Review requested and shows who it is assigned to.

Delegate does the same thing for a review already sitting with you, handing it on to someone else.

Note

Only one person can hold a whole-ledger review at a time. A ledger has a single reviewer slot, so requesting a review from a second person replaces the first request rather than adding to it. The first person is no longer assigned.

Requesting a review of one entry

Inside Manual review, on the entry you want checked, use Request entry review. Pick the reviewer and add an optional note. Spyral tells them that you are asking them to review that entry, and their notification links straight to it.

Several people can hold entry-level reviews on the same ledger at the same time. An entry request is deliberately kept separate from the whole-ledger slot, so two requests to two different colleagues do not overwrite each other, and neither of them displaces whoever holds the ledger review.

Use whole-ledger requests to hand over a client. Use entry requests to ask a specific question about a specific booking.

What you cannot do

  • You cannot assign a review to yourself. Spyral refuses and says so. If the work is yours, just open Manual review and do it.
  • You can only assign to a member of your team.
  • You cannot request a review of a ledger that is still Preparing, or one that has Failed. Spyral tells you the ledger is not ready for review. Wait for it to reach Ready for review.

Seeing what is waiting on you

The Bookkeeping page has a Reviews assigned to you panel listing every outstanding request, showing whether it is a whole ledger or a number of lines, and who it came from. It is the first place to look at the start of the day.

When you finish a review that someone asked for, the person who requested it is notified.

The history trail

Every ledger keeps a record. Open History on the ledger to see the audit trail of review requests, delegations and completions: who requested a review from whom, who delegated it, who completed it, and how many corrections each review produced.

This is the record to use when you need to show who checked a set of books and when. It is also more reliable than memory when a client asks who signed something off.

Reviewing what you have been assigned

Open the request from the notification or from the Reviews assigned to you panel. If you were assigned specific entries, Manual review walks you through only those, and tells you when you have finished them all. See Reviewing a ledger.

Who can do what

Consultants and administrators can request reviews, be assigned them, and complete them. Viewers can see ledgers but cannot be assigned a review.
