Team conversations
Create a shared conversation with the assistant for a project, add colleagues to it, and work in it together in real time.
A team conversation is a conversation with the assistant that your colleagues can see and take part in. Everyone in it reads the same questions, the same answers and the same sources, and anyone in it can ask the next question.
An ordinary conversation is private to you. Nobody else sees it, including your firm's administrators.
Creating one
Team conversations are created from inside the assistant, on a new conversation, using the folder button in the message box.
- Open the assistant and start a new conversation.
- Click the folder button in the row of controls under the message box.
- Pick a project. Team conversations always belong to a project.
- A dialog appears titled Create team conversation. Confirm it.
- Type your first question and send it.
The conversation is only really created when you send that first message. If you confirm the dialog and then close the page, nothing is saved.
Picking a project is what triggers the dialog, even when you only wanted to filter. There is no way to point a private conversation at a project. If you were trying to narrow which documents get searched rather than share the conversation, cancel the dialog and use the scope dropdown instead. See Asking a good question.
Choosing Personal chat in the same dropdown starts a brand new private conversation and discards whatever you had typed.
Who can create one
Creating a team conversation and adding people to it are separate permissions, and the default consultant role holds neither. A consultant can use the assistant fully on their own, but the confirm button is unavailable to them.
If you need one and cannot create it, ask an administrator at your firm either to create it for you or to grant those permissions under Team, then Roles and Permissions.
What it looks like
A team conversation carries a header across the top showing Team conversation, how many members it has, and the faces of the first few. The message box is outlined in purple and its placeholder changes to Message your team..., so you can tell at a glance that what you type is not private.
In the Chat history dialog, opened with the clock button, shared conversations carry a Team badge next to their title.
Members
Everyone who is already a member of the project is added to the conversation when it is created. You do not add them one by one.
To add someone afterwards, use Add members in the header. The dialog lists the team members who are not in the conversation yet. Select and confirm. If everyone is already in, the dialog says so.
There is no way to remove someone from a team conversation from the interface, even though the creation dialog mentions adding or removing members at any time. If you need someone taken out, get in touch with us. Until then, treat a team conversation as visible to everyone who has ever been added to it.
Adding a team member to a company inside a company project also joins them to that project. See Projects.
Working in it together
A team conversation updates live for everyone who has it open.
- You see who is typing. The header area shows "X is typing", or names two people, or counts them when more are typing at once.
- Only one person composes at a time. While a colleague is typing, your message box is disabled and shows their name. This stops two people asking the assistant different things at the same moment and interleaving the answers.
- You see answers meant for someone else. When the assistant is replying to a colleague's question, a line tells you it is responding to them, and the answer streams into your view as it is written.
- New messages appear on their own. You do not need to refresh.
Anyone in the conversation can react to a message with an emoji, copy an answer, or ask the assistant to try again.
How many a project can hold
A project is designed to hold up to 15 team conversations. Most firms run one or two per project, so this is not a ceiling you are likely to meet. If you do, reuse an existing conversation rather than opening another.
Exporting a conversation
The download button under the message box exports the conversation. It appears once the conversation has at least one message.
The export is an HTML file, not a PDF, even though the control is labelled Export chat. The file downloads with a .html extension and opens in any browser.
If you need a PDF for a client file, open the exported file in your browser and print it to PDF from there.
The export contains the conversation title, the project, the participants, who exported it and when, and then every message in order with its sources and timestamps.
Team conversation is not Team Chat
These are two different things with confusingly similar names.
| Team conversation | Team Chat | |
|---|---|---|
| Where | Inside the assistant | On a project, via its Chat button |
| Who answers | The assistant, from your documents | Only your colleagues |
| AI involved | Yes | No |
| Files | Referenced from the library | Uploaded into the conversation |
A project's Team Chat is a normal messaging surface for people. The assistant plays no part in it. See Projects for what the Start Chat button does, because it changes something for the whole project.
